Frequently asked questions about using the AIRAdoc platform for medical documentation.

Getting Started

How do I create my first document?
  1. Open Scribe by clicking "Scribe" from the left side panel
  2. Select New Visit from the top of the Documents panel
  3. Enter Patient Identifier name or whatever patient identifier you prefer
  4. Select Category. Notes, Procedures, Reports or Letters. Each category has it's own templates.
  5. Select your Template - default templates are added when your account is created. You can always add more! The template shown are based on the category selected.
  6. Choose Pronout Optional... Allows you to tell the AI which gender to apply.
  7. Video Visit Check if the visit is telemedicine. If selected, a window will pop up when you start the visit, and you will need to tell the system which screen to record from.
  8. Deactivate Sharing Check if you want to limit visibility for the note to only yourself. Others in your organization will not be able to see this document.
  9. Start Visit to automatically start recording your patient visit or dictate in a free-form manner
  10. End Visit - the documentation will be automatically generated
  11. Edit - click on the note to enter Edit Mode
  12. Save and Copy - your note will be saved to the clipboard, and is ready to be pasted into your EHR
What are the options for editing?

There are multiple features available for editing, reprocessing a visit, and generating a new document from the original recording.

Simple Editing Simply click on the note or click the Edit Note to enter editing mode. From here you can add or remove information just as you word in any document. Once you are in Edit mode, there are other options available as well.

Change Template Above the note to the left is a box with all available templates. If you have decided that the original template is not correct, simply select a new one and choose to "Reprocess" when prompted. The new template will be applied

Transfer To Above the note to the right is a button to "Transfer Content." This allows you to create a NEW document for the patient with completely new template. This is particularly useful for generating a letter to a colleague or the patient based on the original visit.

Resume Visit Next to the Save & Copy button are 3 dots. Click on these to see the option for "Resume Visit." This will automatically restart recording and make a text box available for adding text such as external reports which you want included in the note. This function is useful when adding a diagnosis that was not discussed in the original visit, or adding findings that might not have been available originally. When finished, click End Visit and the note will be regenerated.

Reprocess Also accessed by the 3 dots next to the Save & Copy button is the Reprocess button. In the event that the note is not generated correctly, select this option to regenerate the note entirely.

What the different Copy options?

Because different EHR systems use different technologies to display their outputs, we offer three different formatting styles for transferring content

Plain This is a simple text form. All formatting is removed and only the text persists

HTML This is a rich text option suitable for pasting into a word processor or a web based EHR system. Note that this option will carry full HTML markup, and the raw text might look strange if you are not familiar with HTML

Custom This is a lighter version of HTML. It is ideal for copying into an EHR system which uses a browser, but the HTML markup is minimal and is still very editable by even users who are not comfortable with HTML. It results in a nicely formatted output displayed in a browser.

To select your copy style, simple click the 3 dots next to the Copy button. The selected copy style will be displayed on the button itself. If you are in Edit mode, clicking the Copy & Save button will copy in the last selected format.

What templates are available?

We offer a wide range of medical documentation templates:

  • Patient Visit Notes - Standard visit documentation, with defaults for routine visits, more complex followup visits and comprehensive history / physical documents. You can always generate your own templates or edit the existing ones! See: Adding Templates
  • Procedure Reports - Surgical and medical procedures, completely customizable based on your requirements
  • Report Forms - Ideal for documenting radiology, pathology or lab findings
  • Letter Templates - Letter formats, for creating communication to colleagues or patients
Can I use AIRAdoc on my mobile device?

Yes! AIRAdoc works on both Android and iPhone devices

Template Management

How do I add notes templates from the marketplace?
  1. Browse the market for available templates. Filter templates by specialty and language, or search for something specific.
  2. Preview templates before adding them. Click on View to see an example document in the right side panel.
  3. Customize settings for each element in the template. You can also rearrange elements, remove elements, or add new elements to fully customize your template.
  4. Add to collection by clicking Add Template after you are done customizing.
Can I modify existing notes templates?

Absolutely! You can:

  • Modify how Elements are Processed by adjusting the Tone, Voice and Verbosity. These changes affect how that portion of the note will be generated by the AI.
  • Modify Elements for any given note template. You can rearrange, delete or add new elements to any custom note template.
  • Create New Note Templates from scratch by adding elements from our library.
What about procedures, reports and letters?

The other document templates allow for even more flexibility! With these, you can:

  • Enter your own sample documents in the Example 1 and Example 2 fields, so that the AI will use your own templates as a model for generating the documentation.
  • Advanced Instructions (optional): This field allows you to add more complex instructions to the AI processing of instructions.
  • Create New Templates from scratch by entering your own sample documents.
How do I organize my templates?

Templates are fundamentally organized by their type:

  • Notes Followup visit, H&P, etc
  • Procedures Knee injection note, Appendectomy note, etc
  • Reports Echocardiogram, Brain MRI, etc
  • Letters Letter to Colleague, Visit Summary for Patient, etc

How do I start documenting a patient visit?
  1. Select a template for the visit type
  2. Enter patient information (name, ID, date)
  3. Use voice dictation or type directly
  4. Add custom notes as needed
  5. Save and finalize the document

Security & Compliance

Is my data secure?

AIRAdoc provides enterprise-grade security:

  • GDPR compliance for medical data, including compliance with data protection principles
  • End-to-end encryption for all data transfers
  • Regular security audits to ensure our infrastructure is always up to the highest security standards
  • Backup and recovery systems to prevent data loss
How do you handle data privacy?

We protect your data through:

  • GDPR compliance as at the infrastructure level
  • Data localization: European data is stored exclusively on EU located servers
  • User consent management ensures that all users are aware of best-practices for data security
  • Transparent data practices so you can be confident in the security of your data
What happens to voice recordings?
  • Voice recordings are processed on our own cloud-based servers and then deleted.
  • No voice recordings are preserved in the AIRAdoc system.
What happens to data that the AI processes?
  • Data sent to the AI system is deleted immediately after processing by the AI.
  • No data is ever preserved for training or other purposes beyond those directly required for your purposes within AIRAdoc.

Troubleshooting

My computer is not recording!

Try these steps:

  1. Ensure you have a microphone enabled. Sometimes an external microphone is necessary to optimize recording quality.
  2. Give Permission to the Browser. When prompted, select "Always allow access when visiting this site" or similar.
  3. Confirm internet connection. AIRAdoc can continue to record and save data locally for some time period, and will submit data once a connection is re-established. If internet connection is lost, DO NOT CLOSE the application until the connection has been re-established and recordings have been submitted!
  4. Contact support if the issue persists
How can I optimize the quality of my notes?

A few tips for optimizing notes:

  • Clearly state important information in the visit. Mentioning the diagnoses, drug names and doses and specific plans will ensure that these appear correctly in the notes. Patients appreciate this as well!
  • Briefly dictate a summary after the patient visit is done. Spending just a few seconds after the patient leaves the visit to summarize the diagnoses and treatment will often save time editing later!
